The Comptroller reports directly to the Dealer Principals, while working with the department managers to ensure effective financial, operational and administrative policies and procedures.

Listed below is a majority listing of the primary duties and responsibilities of the Comptroller. It is not an exhaustive comprehensive rooster of all functions, responsibilities or duties.

Financial Responsibilities:

  • Complete responsibilities for Trial Balance, Schedules and Financial Statements for all stores.
  • Complete responsibilities for ensuring a timely submission of all permits and licenses
  • Complete responsibilities for ensuring that sales and use tax is accurate, collected, computed and submitted to the proper agencies.
  • Complete responsibility that all necessary weekly, monthly and/or yearly physical of assets are performed accurately and timely and adjusted accordingly.
  • Complete responsibility that all 8300 are accurately and timely filed
  • Cash management
  • Daily cash management reports to Principals, which detail current cash position, future cash inflows and cash needs for current and future cash expenditures/commitments.
  • Pay off Floor Plan and Curtailments
  • Ensure that office staff is properly educated, motivated and evaluated.
  • Provide training and cross training for all staff, in certain instances, this may be delegated.
  • Calculate all monthly bonuses to be submitted to Principals for review & approval
  • Provide assistance to dealership’s CPA firm for quarterly analysis’ and yearly tax compliance.
  • Create (if necessary) educate and enforce company policies and procedures, as it relates to specific functions. Example – all purchases need a PO approved by management prior to items being ordered
  • Fixed assets – identify, properly record in fixed assets and record depreciation
  • Assist with floor plan reconciliation
  • Retrieve daily from manufactures all communications & mail
  • Produce, review, verify and present to Principals monthly and yearly financial statements to be transmitted to the manufacturer.

System Administration:

  • Maintain in-house dealership operations and accounting system, with respect to ensuring system updated, secured and back up information secured.
  • Financial system updated and maintained – Chart of accounts and financial statement updates as required by manufacturer

The Parts Advisor or Counterperson is responsible for assisting all mechanics and customers in purchasing needed parts, supplies, and accessories. The Parts Advisor is also responsible for achieving monthly sales and gross forecasts and for seeking out and soliciting parts business online. The Parts Advisor reports directly to the Parts Manager.


Job duties for a parts advisor include:

  • Tracking all incoming and outgoing parts for the dealership internally and via our parts website.
  • Communicating with online customers and keeping them up-to-date regarding their orders.
  • Locating available parts when the dealership is out of stock.
  • Handling parts payment collection and making sure all parts are billed correctly through the service department.
  • Packaging and shipping parts back to the manufacturer, and completing the appropriate record keeping.
  • Referring to parts manuals (both hard copy and electronic format) to identify exactly the right part(s) for the make, model and year of vehicles being serviced.

Job Responsibilities:

  • Greet and welcome service customers in a friendly and courteous manner
  • Install floor mats and I.D. tags in all vehicles taken in for service
  • Drive vehicles from the service lane to the service parking lot
  • Maintain the parking lot in a neat and organized manner
  • Retrieve customer vehicles from the parking lot
  • Inspect each vehicle for damage prior to parking for service and when retrieving after service
  • Perform ‘Quality Control’ at the end of the service to ensure the inside and outside of the vehicle is clean and presentable to return to the customer
